Active users — users who engage with the member web portal or mobile app through bookings, payments, or by having a personal or company subscription, thereby creating value for your business. Learn more
Administrator — a user responsible for managing a specific location. Administrators manage customers, billing, and all services the space offers from the Spacebring admin portal.
API & Webhooks — an add-on to the Spacebring subscription that enables the use of Spacebring Rest API and webhooks to build your own integrations and automated workflows between Spacebring and third-party software, such as CRM or an access control solution. Learn more
Assignment — a long-term allocation of a resource (e.g., a dedicated desk or office) to a specific customer as a result of their subscription for renting that resource. It ensures the resource or seat is reserved for the customer's exclusive use, preventing other customers from booking or using it.
Benefit — a local or partnership discount, special offer, or coupon provided by your space or partner businesses as a perk for your customers. Customers can apply for benefits.
Company — an entity that can include multiple users under one business name. A company allows for a shared company subscription and billing and provides company users with common access to subscription perks like credits, day passes, and discounts.
Company manager — a company user responsible for the company's billing, receiving, and paying company invoices, managing company payment methods, and handling other company settings.
Company user — a user who belongs to a specific company. Company users share access to company subscription benefits, such as credits, day passes, discounts, access to the space, etc.
Contact — a walk-in who leaves their details via the "Leave contacts" feature on the Reception app. Contacts are typically people who visit for a tour, to inquire about pricing, or to learn about membership plans, without making a booking.
Contract — a formal agreement between the space and a customer that defines their membership or rental terms and supports digital signatures. Learn more
Coupon — a discount with custom rules, such as applicable products, percentage or fixed amount, redemption limits, etc. Administrators can apply a coupon directly when creating a booking or subscription for a customer or share a promo code with users. Learn more
Credit note — an official document used to formally adjust the balance owed on an unpaid invoice or return funds for a paid invoice. Credit notes are used for cancellations, data entry errors, or refunds. Learn more
Credits — an internal payment method for bookings, shop orders, or event tickets. Members can receive credits as part of their subscription or purchase them as credit packages. Learn more
Credit package — a bundle of permanent credits that customers can purchase to use for bookings, shop orders, or event tickets. These credits do not expire and can be combined with expiring subscription credits for purchases. Learn more
Day passes — an internal payment method that members receive as a part of hot desk or flex membership plans, and use to book hot desks on the days they visit the space. Learn more
Desk — a workstation typically offered in two formats: a hot desk in a shared space for on-demand bookings, or a dedicated desk reserved by customers for the duration of their booking or subscription. Customers can book desks on an hourly or daily basis, or rent them long-term.
Equipment — physical assets such as monitors, projectors, or whiteboards that customers can book hourly, daily, or rent long-term.
Floor plans — interactive visual layouts of rooms, desks, and offices within your space. Floor plans allow users to check the real-time availability of resources visually and make bookings directly from a map. Administrators track space occupancy visually with floor plans. Available as an add-on to the Spacebring subscription. Learn more
Host (in Events) — the person responsible for running an event.
Host (in Visitors) — a member whom a visitor comes to see in the space. Members can preregister their visitors to act as hosts, or visitors can select their host member during self-registration on Reception.
Invoice — a commercial document that lists specific products or services provided and the amount owed for them. It serves as an official record of a sale or a request for payment.
Location — an entity that represents a specific physical space or building in a coworking space network. A location includes its own resources, services, community, and unique location settings. The main page displays one or more locations for the customers and the services available at each.
Location member — a member who belongs to a specific location. When permissions for a resource or service are limited to location members, only members associated with that location can access it.
Member — a customer who belongs to the community of a specific location, typically having a subscription for a membership plan or resource rental. Members have access to member-only features, resources, and services.
Member Mobile App — a white-label branded mobile application of your space where customers can access services, make bookings, payments, and engage with the community. Member mobile apps are available for download on Google Play and App Store. Available as an add-on to the Spacebring subscription. Learn more
Member Web Portal — a branded web application of your space, accessible through a URL, where customers can access services, make bookings, payments, and engage with the community. The member web portal runs in any browser on any device and does not require installation. Learn more
Network — an organization that includes one or multiple spaces (locations), sharing a unique name, branding, and more.
Network member — a member who belongs to any location within your network. When permissions for a resource or service are set to network members, it becomes accessible to members from all your locations.
Network settings — configuration for the entire network, including branding and customization of the member web portal and mobile app, managing Spacebring subscription, and more. Accessible exclusively to the owner.
Nonmember — a one-time, occasional customer, or a former member who does not belong to the community of the space and does not have a subscription for rental or membership plan. Nonmembers can access only resources and services with "Public" visibility.
Office — a private office that customers can rent long-term. Learn more
Owner — the user responsible for managing the entire network and subscription with Spacebring.
Parent room — a larger room or space that, when booked, automatically blocks other related rooms or desks from being booked. A parent room is typically a big room divided into smaller ones, an event space overlapping other resources, or a "Full space booking" option.
Parking lot — a designated area for vehicle parking. Customers can book parking spaces hourly or daily, or sign up for long-term rentals.
Plan — a membership, service package, or level of access to the space that customers can sign up for. For example, a hot desk plan or a flex membership. Plans provide long-term or recurring access without a dedicated resource rental. Learn more
Product (in Shop) — an item or service available for one-time purchase through the Shop page, often sold in addition to core coworking space services (e.g., food, merchandise, beverages).
Product (in subscription) — the core offering that a customer purchases for long-term or recurring access to the space. These can be resources (rentals) or membership plans.
Promo code — a unique alphanumeric code associated with a coupon that customers enter to redeem a discount. Learn more
Receipt — a document confirming the monetary payment for any service. It serves as proof of a financial transaction, verifying that payment has been received.
Reception — a tablet app for visitor check-in and check-out, speedy registration for unexpected visitors, and collecting contacts of walk-ins. Available as a part of the Visitors add-on to the Spacebring subscription. Learn more
Reports — downloadable CSV files containing comprehensive data for a specific type (e.g., invoices, bookings, subscriptions) for a selected period. Learn more
Resources — all physical assets in your space, such as meeting rooms, desks, private offices, parking spaces, or equipment that can be booked or rented.
Room — a private room or space for meetings, conferences, or events, typically booked for short-term use.
Room Display — an app that shows real-time room availability on a tablet placed next to the room entrance. It helps customers find available rooms quickly, make instant bookings via QR code, and may require check-in for free bookings to prevent abandoned bookings. Learn more

Spacebring — the admin portal from which administrators manage the space.
Subscription — a recurring payment plan for a resource rental or membership plan that provides a customer with ongoing access to the space, associated services, and benefits, while automatically generating recurring invoices for payment. Learn more
Transaction — a record of a customer exchanging money, credits, or day passes for a product or service.
Visibility — a setting for resources, services, and pages that determines which groups of users can view and access them. Learn more
Visitor — a guest invited by a member for a meeting or visit. Visitors can be preregistered by their host or register themselves using the Reception app.
