Learn how to create and configure a plan

A membership plan, or simply "plan," is a specific package of services customers can sign up for, often on a long-term, recurring basis. Typical examples of plans that coworking spaces offer are:

  • Monthly hot desk plan

  • Flex membership plan

  • Dedicated desk plan

  • Virtual office plan

  • Weekly coworking plan

You can also create any other types of membership plans you offer as plans. If you provide parking lots and locker rentals, you can create distinct plans such as "Parking" and "Locker". These plans will function as standalone memberships and also as add-ons to the primary subscription.

Create a plan

To create a plan, do the following:

  1. Go to Billing > Plans.

  2. Press the Create plan button.

  • Plan name —will appear on customer invoices and the Customers page overview.

  • Cycle — the interval of plan validity and frequency of subscription renewal. It can be either 1 day, 1 week, 1 month, 3 months, 6 months, or 1 year.

  • Description — a user-friendly explanation of what is included in the plan. The description is shown when people sign up for plans.

  • Price — the membership fee for one cycle. Invoicing must be enabled for this option to show up.

  • Custom tax rate — enable to set a custom tax rate for the plan if the fixed location tax doesn't apply to it.

  • Sign-up — define whether and how customers can see and sign up for this plan.

Enable with the "Immediate" type when:

  • This plan provides general coworking access or shared-use membership (e.g., Hot desk plan). It doesn't provide customers with their own assigned resource (dedicated desk, office, parking space, etc.).

  • This plan includes a package of credits or day passes for on-demand bookings.

Customers will see this plan in the general list of plans under the Sign up button and can sign up for it immediately without contacting an administrator.

Enable with the "Request" type when:

  • This plan doesn't allow immediate sign-ups and requires applications.

Customers will see this plan in the general list of plans under the Sign up button and can submit a request to sign up. Administrators process requests as support tickets.

Disable "Sign-up" when:

  • This is a plan for renting a specific resource. By subscribing to it, users get their own assigned resource (dedicated desk, parking space, etc.).

  • The plan should remain hidden from the public and only be used internally by administrators as a template for creating subscriptions.

Customers will see this plan under a specific resource (room, desk, office, etc.) rather than under the Sign up button, or this plan wil be visible only to administrators.

  • Minimum commitment — enable to define the minimum commitment period for the plan (in cycles) to configure the shortest possible term for your customers. The Minimum commitment is automatically applied only when users subscribe independently, not when an administrator creates a subscription.

Users automatically subscribe to the minimum commitment period you set within the plan.

  • For plans with a minimum commitment of more than 1 cycle: Users cannot disable "Renewal" during sign-up to ensure the commitment is fulfilled.

    Example: If a plan has a 1-month period with a 3-cycle minimum commitment, users subscribe for a mandatory 3 months. After this initial period, the subscription remains recurring. To request a subscription cancellation, users should contact an administrator.

  • For plans with a minimum commitment of exactly 1 cycle: Users can manage the "Renewal" switch during sign-up. This single-cycle commitment acts as a standard recurring subscription.

Disabled

Users subscribe to the plan and can manage the "Renewal" switch during sign-up and decide whether they want to subscribe for only one week/month, etc., or for an automatically recurring subscription.

  • Credits — the number of expiring credits that will be allocated to a customer with each subscription renewal for bookings or purchases. These credits expire at the end of every cycle. Credits must be enabled for this option to show up.

  • Day passes - the number of temporary day passes that will be allocated to a customer with every subscription renewal for booking a hot desk. The day passes expire at the end of every cycle. Day passes must be enabled for this option to show up.

  • Discounts — offer discounts on certain services to members subscribed to this plan.

  • Access — automatically grant access to certain doors to members subscribed to this plan for the duration of their subscription.

  • Printing - automatically grant printing access to a certain group to members subscribed to this plan for the duration of their subscription.

3. Tap Save.

4. All the plans added will become available for creating the subscription and plan sign-up or sign-up requests.

Our recommendations

  • To offer targeted discounts on specific plans for selected customers, use coupons and promo codes for subscription items. Create coupons and apply them directly when creating subscriptions for users and companies, or share the promo code with customers to redeem the discount on their own when they sign up.

How to create a custom plan for one customer?

Start creating the subscription for your customer, keep "Custom" in the "Plan" section and manually type the plan name, and price, and fill out other necessary fields.

How can I copy the link to all public plans?

To copy the link to all public plans, open Spacebring > go to Billing > Plans > press the menu (...) top right > "Copy link to all public plans".
