Introducing billing via Spacebring ensures simple financial management, automates payment collection, and reduces manual work. It also enables your customers to access all invoices, pay for them, and manage their payment methods conveniently from your member web portal and mobile app.
Get started
To begin billing your customers through Spacebring, you need to complete the following preparation steps:
Create all membership plans in Spacebring with accurate prices and included perks (such as credits, day passes, discounts, etc.).
Prepare a list of your current members, including their correct first and last names, billing information, and the specific membership plan each member has.
Create a list of your companies in Spacebring.
Fill out the location billing information, including taxes, billing details, and bank account information.
Connect the payment gateway (if supported for your region) to facilitate online payments for invoices.
Have the accounting platform connected (if supported for your region)
You can start billing your members via Spacebring at any time, whether it's a brand-new member who needs to receive the first invoice or it's your current member whom you were invoicing through a different platform earlier.

Launch billing for new members
There are two ways to start invoicing your members via Spacebring:
Manual: create the subscription for the new member by yourself
Automated: offer the new member to sign up for the plan by themselves

In some cases, new customers email or call you and ask you to send them the invoice for the membership plan instead of signing up for your services by themselves. In this case, administrators can onboard a new member and set up billing for them by themselves. Here is how:
Collect the new member's first and last name, email address, the name of their company (if there is any), and billing details.
If your customer is an individual client and not a business, invite them as a user.
If your customer is a business with several employees who will also visit the space, create a company and invite all their team members to join it and select the company manager.
2. Create a subscription for your new member and select the necessary start date.
โThe start date is necessary to schedule when a member receives all the membership perks and can start using them, as well as when their invoice arrives.
3. Wait until the member pays for the first invoice online.
Once done, all future invoice payments will be automatically charged (if you use Stripe, WayForPay, Fondy, or the plata by mono payment gateways).
Automated
If you enabled the "Sign Up" option for your plans, users can purchase memberships by themselves and become your customers independently. In this case, the user is invited to the location automatically and can even sign up as a company. The newly onboarded member will have the subscription created by Spacebring and will have all further invoicing automated according to their subscription settings.
To make the plan sign-up efficient, we recommend integrating your member web portal and mobile app with the marketing site.
Launch billing for existing members
If your members are using Spacebring for bookings and community, but you have invoicing setup outside of Spacebring, you can easily change that. For this, administrators need to prepare the following:
Select a month from when you want to start invoicing your members via Spacebring.
Create a feed post or email announcement to inform members about the news. Keeping them informed in advance ensures they will expect the invoice and pay it on time. They can also add their default payment method beforehand.
Have your location billing settings configured.
Have a list of all your members' membership plans with the proper start and end dates.
Once you followed the preparation steps, proceed with updating your members' information:
Add the users' and companies' billing details, or ask members to add this information by themselves.
Edit your members' subscriptions to include the right subscription items (your membership plans with the fee to pay).
Wait until the member pays for the first invoice online.
