Your space may have a zone or zones with dedicated desks for members. To organize the rental of desks in this zone and track its occupancy, follow these steps:

  1. Add dedicated desks on the Desks page.

Set "Public" visibility and enter the monetary price per seat per day if you allow daily bookings for available dedicated desks. If you don't want to allow daily bookings for dedicated desks, set the desk visibility to "Administrators".

2. Create dedicated desk plans you offer with different conditions and perks included, such as expiring credits, discounts on rooms, events, shop products, or credit packages, as well as access to the door, printing, and other amenities.

How users subscribe to a dedicated desk

  1. Users sign up for a dedicated desk plan independently, or an administrator creates a subscription for the desired plan for them.

  2. While creating a subscription or noticing a new sign-up on the Notifications page, the administrator assigns the necessary number of dedicated desk seats to the user or company.

3. Users and companies with subscriptions to dedicated desk plans do not need to book desks for themselves daily as they are fully assigned to them for the duration of their subscriptions.

How to track dedicated desk occupancy

  1. Administrators or all users (if the desk's visibility is set to public) see the availability of the dedicated desk on the Desks page automatically reduced by the number of assigned seats for this desk.

  2. The availability automatically updates if someone's subscription with an assignment for this desk ends or is canceled.

  3. Administrators can track the occupancy of the dedicated desk and see which member has a dedicated desk assigned until which date on the Occupancy page and plan dedicated desk membership sales accordingly.

  4. If an administrator notices that the dedicated desk shows "Fully booked" notice or is approaching it, they can temporarily disable "Sign Up" for the dedicated desk plan. Alternatively, you can set sign-up type for this plan to "Request" so that no more users can sign up for it independently, however they can submit requests for it and be added to the queue or informed when any dedicated desk will become free in your space.
