You can assign rooms, desks, offices, and parking lots to members to accurately display and track occupancy in your space.

Use assignments

  • Track the occupancy of your rooms, desks, offices, and parking lots to see what's taken and available on the timeline.

  • Showcase and track the availability of resources when selling plans for them.

  • Limit access to certain resources to specific customers.

  • Organize a hybrid office so users can book seats daily.

  • Accommodate bookings of certain rooms for a long term by a particular user or company.

How to assign resources

  1. Create or edit a subscription for a user or company.

  2. Press Add in the "Assignments" section.

  3. Select the resource you want to assign.

  4. Keep the Entire Resource switch enabled to fully assign the resource, or disable the switch and specify the number of seats or spaces within the resource capacity to assign.

You can assign unlimited resources to a single user or company.

How to cancel assignments

Administrators can cancel assignments in two ways:

  • Edit the subscription of a user or company > tap on the assigned resource in the "Assignments" section > press Delete.

  • Assignments will automatically expire when the subscription is canceled or ends.

How assignments work

You can assign an entire resource or a specific number of seats within it to users and companies. Rooms can only be assigned entirely.

A resource can be assigned to multiple users or companies, but all assignments must be the same type: either the entire resource or a number of seats. If the entire resource is assigned to a user or company, it cannot be assigned as a seat to others, and vice versa.

Entire resource assignments

To fully assign a resource to users or companies, add it to their subscriptions with the "Entire Resource" switch enabled.


Assignment of the entire resource makes it visible and bookable only to the users and company members it is assigned to. Other users can neither see nor book it.

Seat assignments

To assign a specific number of seats or spaces within the resource to a user or company, add it to their subscription with the "Entire Resource" switch disabled and specify the number of seats or spaces.

A resource can have seat assignments for multiple users or companies based on its seating capacity or parking space quantity.

All users see the resource's availability reduced by the number of assigned seats or spaces in the member web portal and mobile app.

Users and company members to whom the resource is assigned do not need to book the resource. The seats or parking spaces are allocated to them for the duration of their subscription or until the assignment isn't removed.

Once the subscription with an assignment to the resource ends, the assignment is canceled or removed - the resource availability automatically updates.

How users view their assigned resources

Users can see the resources assigned to them by following these steps:

  1. Go to the Account > Assignments page.

  2. View all the resources assigned, organized by location. Each assignment shows whether the entire resource is assigned to you or a specific number of seats, and the end date of the assignment's validity.

If the resource is assigned in a company subscription, both company managers and members can see it on their Assignments page.

How assignments affect occupancy and floor plans

  • For administrators, assigned resources appear in Spacebring on the Analytics page > Occupancy tab and display the name of the user or company they are assigned to, as well as the assignment dates. Track occupancy

  • Resource assignments affect the occupancy rate.

  • Assigned resources are shown in green color for administrators in Spacebring:

  • Assigned resources are shown in white color on floor plans for users in the member web portal and mobile app.
