If room booking is not free, you may want to set prices. Spacebring allows for great flexibility when setting room booking pricing. For example, you can set a flat price regardless of booking duration or set up variable pricing depending on booking duration. You can set one or multiple money and credit price tiers for each of your rooms.
In this article, we'll explain how pricing works, how to create price tiers, and how to accommodate different use cases for your room booking pricing.
Understand price tiers
Booking duration refers to the total amount of time, measured in hours, for which a room is booked. The booking duration is determined by a booker at the point of booking. You can influence it with min. and max. time properties of your rooms.
Price tier is a specific pricing level that a booking falls into based on its duration. You can determine the price tiers for each room.
Example Price Tier | Example Booking Durations |
Less than 4 hr | 0.5 hr, 1 hr, 3 hr, 3.5 hr |
From 4 hr | 4 hr, 7 hr, 11 hr |
From 12 hr | 12 hr, 16 hr |
From 24 hr | 24 hr |
Unit price and flat price are properties of a price tier. They are configured independently and are unrelated.
Type | Definition | Example(s) |
Unit Price | The cost to book the room for a specific duration, measured per hour. | If the unit price is $10 per hour and the booking duration is 6 hours, the total cost would be 6 hours × $10 = $60. |
Flat Price | The fixed price for using the room, regardless of the booking duration within a price tier. | If the flat price is $100 for any booking lasting 6 hours or more, then the price for all such bookings will always be $100, regardless of the actual number of hours booked |
How the booking price is calculated
The total price for a booking that falls within the specific tier is determined based on the unit price and the flat price.
Only the unit price is non-zero: the total price is calculated by multiplying the booking duration by the unit price.
Only the flat price is non-zero: the total price is always fixed, regardless of the booking duration within the specified tier.
Both unit and flat prices are non-zero: the total price is calculated by multiplying the booking duration by the unit price and then adding up the flat price.
Add price tier
You can add price tiers when adding or editing the rooms.
If you have only one price for the room and no other variables, keeping one tier with the price stated is enough. If you need to add more variable pricing, do the following:
Navigate to the Locations > Settings page > Rooms and add or edit the room.
Press "Add Tier."
In the "From" value, select the starting booking duration for the price tier.
If you don’t see the desired value here, it means you have already created such a price tier.
4. Specify prices. If the unit price doesn't apply, leave it as "0." If the flat price doesn't apply, leave it as "0."
By default, new rooms have a single price tier with a unit price, which can be edited at any time.
Price tiers must have at least one non-zero price defined.
5. Tap "Save" and confirm the change to the room by pressing the "Save" button at the top once again.
Edit price tier
Navigate to the Locations > Settings page > Rooms and pick a room where you want to edit the tier.
Tap on the tier.
Adjust the necessary values and "Save." Confirm the change to the room by pressing the "Save" button at the top once again.
The "From" value shows the predefined hours to choose based on the earlier created tiers.
Delete price tier
Navigate to the Locations > Settings page > Rooms and pick a room where you want to delete the tier.
Tap on the tier and press "Delete.
Tap "Save" and confirm the room change by pressing the "Save" button at the top once again.
The first tier cannot be removed, but it can always be edited if needed.
View price tiers
Administrators can view all price tiers in the "Payment" section when editing the room.
All users can view price tiers by going to the Locations > Rooms page and pressing the ⓘ Information icon next to the room.
The calendar on the Rooms page shows the first price tier. To see more prices for this room, you will need to open its details page or start booking.
How to use price tiers
If your pricing changes depending on the duration of the room bookings, you need to add several price tiers.
Keep only one price tier if you have fixed pricing with one price per hour and no variables for short bookings or full-day bookings.
Possible scenarios
You can explore various scenarios for pricing tiers and offer flexible pricing to your customers. The goal of having multiple price tiers is to provide flexibility in pricing to attract a diverse range of customers and maximize your revenue.
Use cases
Scenarios | Goal | Setup |
Flexible hourly rates | Offer a lower hourly rate on longer bookings |
|
Daily rate | Offer a discounted rate for full-day bookings.
|
|
Half-day rate | Offer a discounted rate for half-day bookings. |
|
Hourly rate + flat price | Offer an hourly rate for a booking in addition to which the fixed rate will be charged for each booking. For example, it's useful when you need to charge a fee for cleaning if bookings last more than 6 hours. |
