Plans

Create membership plans for long-term or recurring access without a dedicated resource.

Updated over a week ago

Plans are your membership options or packages of services that customers can subscribe to, usually on a long-term or recurring basis. Typical examples in coworking spaces include Hot desk unlimited, Hot desk (10 days), or Flex membership.

With plans, you can:

  • Structure and present your membership options to customers

  • Let customers sign up for plans instantly or submit requests

  • Quickly set up new customers for subscriptions, using plans as templates with tied pricing, included services, and access rules, instead of manual configuration.

Plans are designed for access without a dedicated resource.

Dedicated desks, offices, or other rentals — whether long-term, recurring, or hourly or daily access — are configured in Resources.

Set up plans

  1. Go to Billing > Plans.

  2. Click Create plan.

Plan configuration

  • Name —will appear on customer invoices and the Customers page overview.

  • Cycle — the interval of plan validity and how often the subscription renews. Available options: 1 week, 1 month, 3 months, 6 months, or 1 year.

  • Description — a customer-facing explanation of what the plan includes.

  • Price — the fee for one cycle.

  • Setup fee — a one-time setup fee that is included in the customer's first invoice.

The setup fee is subject to tax but is not affected by discounts or invoice proration.

  • Custom tax rate — enable to set a plan-specific tax rate if the location's default tax doesn't apply.

  • Minimum commitment — enable to define the minimum subscription period for this plan (in cycles).

Setting

Outcome

Enabled

For plans with a minimum commitment of more than 1 cycle:

  • Customers cannot disable "Renewal" during sign-up and can only subscribe for an automatically recurring subscription to ensure the commitment is fulfilled.

  • After the commitment period ends, the subscription continues to renew until the administrator sets an "End date" or cancels it. Customers can request subscription cancellation.

Disabled

Customers can manage the "Renewal" switch during sign-up and decide whether they want to subscribe for only one week/month, etc., or for an automatically recurring subscription.

  • Credits — the number of expiring credits that will be allocated to a customer with each subscription renewal for bookings or purchases. These credits expire at the end of every cycle. Credits must be enabled for this option to show up.

  • Day passes - the number of temporary day passes that will be allocated to a customer with every subscription renewal for booking a hot desk. The day passes expire at the end of every cycle. Day passes must be enabled for this option to show up.

  • Discounts — offer discounts on certain services to members subscribed to this plan.

  • Sign-up — control whether and how customers can see and sign up for this plan.

Outcome

Enable with "Immediate" type

Customers will see this plan and can sign up immediately without contacting an administrator.

Enable with "Request" type

Customers will see this plan and can submit a request to sign up. Administrators process requests as support tickets.

  • Useful if the plan requires additional verification, or you do not allow new customers to sign up and become your members independently.

Disable "Sign-up"

The plan should remain hidden from the public and only be used internally by administrators as a template for creating subscriptions.

  • Access — automatically grant access to certain doors to members subscribed to this plan for the duration of their subscription.

  • Printing - automatically grant printing access to a certain group to members subscribed to this plan for the duration of their subscription.

  • Exclusive access — customers on this plan will have exclusive access to see or book these resources. Make sure that in the resource settings, "Visibility" and/or "Booking" permissions are also set to "Members with exclusive access".

3. Tap Save.

Our recommendations

  • To offer targeted discounts on specific plans for selected customers, create coupons and promo codes for subscription items. Create coupons and apply them directly when creating subscriptions for users and companies, or share the promo code with customers to redeem the discount on their own when they sign up.
