Automate access with Tapkey

Your coworking space app can automate physical access to the premises by integrating with the Tapkey access control solution.

Prerequisites

To enable Tapkey integration with your app, make sure you've completed the following prerequisites:

  1. Have an active Spacebring subscription with an Essential or higher plan.

  2. Have your Tapkey account set up with all locks configured and added to users groups created exclusively for your app.

  3. Have user groups added and enabled in Tapkey.

Reusing existing access groups you have previously configured for other applications will result in errors.

4. Have access to the Tapkey administrator account.

How to enable the Tapkey integration

  1. Open your app and go to the Locations > Settings > Tapkey.

  2. Press Connect and permit to connect Tapkey with your app.

  3. Select a locking system to grant access to a group based on a plan.

You can connect a separate Tapkey account to each location in your app.

How to configure access for Tapkey

The integration between Tapkey and your app allows granting access based on the following conditions:

  • Subscription

  • Room booking

  • Desk booking

Access for subscriptions

To automate access for subscriptions, do the following:

  1. Navigate to Locations > Settings > Plans.

  2. Create or edit a plan and select the desired Tapkey user group in the "Access" section.

  3. Create a subscription manually or let users sign up for plans by themselves.

Access for room bookings

To automate access for meeting room reservations, do the following:

  1. Navigate to Locations > Settings > Rooms.

  2. Add or edit a room > select the appropriate Tapkey user group in the "Access" section and press Save.


​Access for desk bookings

To automate access for desk reservations, do the following:

  1. Navigate to Locations > Settings > Desks.

  2. Add or edit a desk > select the appropriate Tapkey user group in the "Access" section and press Save.

How Tapkey integration works

User synchronization to Tapkey

The users qualifying for access are auto-registered in your Tapkey dashboard. The user's email address is synchronized.

Access for subscriptions

When a user subscribes (either manually or through self-sign-up), they will be added to a specific user group for as long as their subscription is active. If a subscription is created for a company, all users in the company will be invited to use Tapkey. If a user's or company's subscription is canceled or expires, their access to Tapkey will be automatically revoked.

Users need to download the Tapkey app on their device and set up their Tapkey account with the same email address which they use in your app. To unlock the door, users need to be in front of the necessary lock.

Access for rooms and desks

Members and nonmembers who book a room or desk will have access to the predetermined user group for the duration of the booking. Additionally, room booking invitees will also be granted access.

Users will have a 30-minute grace period before and after the booking time.

Using this integration is only available on specific plans.
