Spacebring offers flexibility and customization to accommodate your space's business hours for booking rooms, desks, and parking lots.

  • Set different schedules for members (location members and administrators) VS the public (nonmembers, network members, and new customers).

  • Set different operating hours for different weekdays.

Configure schedule

The location's schedule defines when rooms, desks, and parking lots can be booked by users. The same schedule applies to all resources.

To configure your location schedule, do the following:

  1. Go to Spacebring > press the (...) button next to the location name > Location Settings page > General.

  2. Scroll down to the "Schedule" section.

Default Schedule

Within the "Schedule" section, you'll find the "Default" schedule.

  • If your space works during the same hours for members and the public, configure only this schedule, and it will apply to all users.

  • If your space has different working hours for members and the public, the default schedule will apply to members.

  1. Tap on the "Default" to reveal the settings.

  2. Select the workdays when your space is open and set the necessary From/Until times.

  3. Press Save.

Public Schedule

If your space has different working hours for members and the public, the public schedule will apply to your public users. It allows you to differentiate the booking times between users who belong to this location (location members, administrators) and others. For instance, you could let members book 24/7, while nonmembers can only book when the front desk is staffed. Understand user roles

To enable and configure a separate schedule for public users, do the following:

  1. Tap on Enable Public Schedule.

  2. Configure the public schedule's settings, such as available days and times.

  3. Save your changes to activate the public schedule.

To disable the public schedule, turn the "Public Schedule" switch off.

Set different hours within workdays

If your space has varying working hours on different days, you can adjust the schedule accordingly. For example, your space may be open 24/7 on weekdays, but only from 9 a.m. to 5 p.m. on weekends. To set this up, follow these steps:

  1. Go to Spacebring > press the (...) button next to the location name > Location Settings page > General and select the default or public schedule to which this change applies.

  2. Press the Add button.

3. Select days deselected in the main schedule above and choose the different working hours for them in the "From" and "Until" sections.

4. Hit Save.

If you need to remove different hours for some days, press the Remove button.

If different working hours during certain days apply for both members and nonmembers, add them to both default and public schedules.

If workdays have different hours, the unavailable booking times on the room calendar will have a very light shade of gray.

Select closed days

Sometimes, you may need to close your space for holidays or any other reason and block certain days on the calendar to avoid bookings on those dates. To do this, select the closed days in your location schedule:

  1. Go to Spacebring > press the (...) button next to the location name > Location Settings page > General and pick the schedule you want to edit.

  2. In the "Closed Days" section, select dates when the location must be unavailable for bookings (e.g., December 25, December 31, etc.).

  3. Press "Save."

Once it's done, all rooms, desks, and parking lots will be automatically blocked for bookings on these dates for the current year and the subsequent years.

If you want the location to be unavailable for members and nonmembers on particular days, select closed days for default and public schedule.

Where users see the schedule

The schedule you set is visible to users on the Information page. Network members and nonmembers can see your public schedule, and location members can see the default schedule.
