If you are migrating from another platform to Spacebring, you may need to recreate all future room bookings made in your previous software in the new app. To assist with this process, we have prepared a comprehensive guide to help you seamlessly migrate your room bookings from another platform.

Prerequisites

To ensure a smooth room bookings migration, it is important to complete the following requirements:

  1. Connect your Google Calendar to your previous platform and create separate calendars in your Google account with the rooms' names. For example, a calendar called "Meeting Room," "Conference Room," etc.

  2. Ensure that the room bookings are correctly synced to your Google Calendar.

  3. Add all your rooms to the new app.

Time required: up to 2 hours, depending on the number of rooms you have and how quickly you add them to the new app.

Automatic booking migration

Step 1. Connect your Google Calendar to the new app

Connect the same Google Calendar account to your new app by navigating to Locations > Settings > Google Calendar. Provide permission to read and write into your calendars and configure integration settings.

Time required: up to 1 minute.

Step 2. Enable two-way sync

To synchronize room bookings from the Google Calendar to your new app and vice versa, you need to enable two-way Google Calendar sync. For this, do the following:

  1. Navigate to Locations > Settings > Rooms page.

  2. Press the (...) button near the room and select "Edit". In the "Google Calendar" section set the necessary calendar to sync all booking info.

  3. Enable two-way Google Calendar sync. This will ensure that events created in Google Calendar also appear in the app.

  4. You're all set! Thanks to the connection with Google Calendar, all new room bookings made in the previous app will instantly appear in your new app. Once you fully migrate to the Spacebring app, all room bookings made in the app will be synced to your Google Calendar.

If you don't need to sync booking from Google Calendar to your app anymore, you can disable the two-way sync in the room settings. This way, only room bookings made in the app will be synced to your Google Calendar.

Time required: up to 5 minutes, depending on the number of rooms you have.

Manual booking migration

If you don't have a lot of bookings yet, you may not require automatic booking migration and can easily create free room bookings for your users manually in the app. Only administrators have access to the "Free" payment method and can create an unlimited number of free room bookings.

If you need to migrate your members' bookings, follow the next steps:

Step 1. Invite your members to the new app

To invite your members to the new app, please follow our guide.

Time required: from 10 minutes to several hours, depending on number of users.

Step 2. Create room bookings

  1. Create free room bookings for your users and select the necessary booker.

  2. All done! Your members will receive a push notification about the booking you created for them and can view it on the Account > Room Bookings page.

After fully migrating to the Spacebring app, your users should create bookings by themselves. Embracing self-service functionality will ultimately lead to a more engaged community and smoother operation for your coworking space. Promote self-served bookings

FAQ

Can I migrate the member's credit balance to the new app?

It's not possible to migrate the member's credit balance but you can give credits to your members manually following this guide. Members receive a push notification about the credit transaction.
