Effortlessly track your space occupancy and the availability of your rooms, desks, offices, and parking lots on a monthly timeline with the Occupancy page. It helps you better collaborate with the sales team to lease out these spaces.
Prerequisites
For an accurate occupancy overview and occupancy rate, it's essential to complete the following prerequisites:
Add all your rooms, desks, offices, and parking lots to the respective pages.
Assign resources to companies and members that rent them in their subscriptions.
Use the Occupancy page
Navigate to the Locations > Analytics page by pressing the "Analytics" icon next to the location's name > Occupancy tab.
The Occupancy page allows you to view the following:
Occupancy Rate
The current occupancy rate of the space is displayed right on the tab. It is calculated based on the ratio of the number of booked and assigned seats in desks and offices to the total number of seats in the desks and offices in your space.
Resources available for booking or rent
Rooms, desks, and parking lots available for bookings, and offices available for rent do not have any company or member name next to them on the timeline.
Resources assigned to companies and members
Each assigned resource shows one or multiple assignments with the names of the members and companies it is assigned to and the assignment dates on the timeline. The resource rental period is shown based on the subscription dates of the member or company it is assigned to.
The Occupancy page allows tracking solely resource assignments. It doesn't display one-off bookings. Track one-off bookings for rooms, desks, and parking lots on the respective pages in the app. Track the analytics for one-off bookings in the dedicated "Rooms" and "Desks" tabs on the Analytics page or by generating custom reports.
By hovering over the company or member name, you can see the start and end dates of the assignment.
By clicking on the company or member name, you can open their profile on the Community page.
By clicking on the resource, you can open its details page.
By checking the boxes in the "All resources" dropdown, you can check the occupancy of all resources or only rooms, hot or dedicated desks, offices, or parking lots.
Floor plan
By selecting a floor instead of a timeline, administrators can open a floor plan that shows all the available and assigned resources in the corresponding colors.
