Once the Visitors module and the Reception app are set up, members can register their guests and accept visit requests via the Visitors page in the member web portal or mobile app.
There are two ways for members to host visitors:
Preregister a visitor in advance – the visitor receives an invitation email.
Approve visit requests – the visitor self-registers on arrival, and the member approves the request.
Preregister visitors
Preregistering visitors facilitates a speedy check-in for the visitor on Reception. To preregister a visit, members do the following:
Go to the Locations > Visitors page.
Tap
Register visit
top right.Fill in the visit details:
First name
Last name
Email — used to send a visit invitation email with visit details.
Phone number (optional)
Visit date — a visit code is valid only for this date.
4. Press Register

For returning visitors, members can select a previous visit and click Register again
to avoid reentering contact details.
5. After registration, a visitor gets a visit invitation email with a 6-digit visit code. They use it for express check-in on the Reception app upon arrival at the space.
If the visit code is lost, administrators or the host can always look it up on the Visitors page by opening the relevant visit.
Approve visit requests
If a member didn't preregister a visitor, the visitor self-registers on the Reception app, and creates a visit request.
The member host gets a notification and is prompted to review the visit request.
By clicking on the notification, the visit request opens on the Visitors > Requests page, and the member can click
Approve
orReject
.If approved, the visitor receives an email with a visit code, used for check-out.
If rejected, the visitor is notified by email.
If the member takes no action, the visit request remains on the Visitors > Requests page.

Spacebring requires an email address for all user registrations, including visitors. The email serves as the unique identifier for each user and is used to send visit invitation and notifications about the visit update or cancellation to the visitor. Therefore, visitors cannot be registered without an email address.
