Migrate bookings

If you’re migrating to Spacebring from another platform, you may need to transfer your customers' upcoming bookings. There are several methods to recreate them in Spacebring—both automatic and manual.

Migration via Google Calendar

Prerequisites

To prepare for a smooth migration via Google Calendar, complete the following requirements:

  1. Connect your Google Calendar to your previous platform.

  2. In your Google account, create separate calendars for each resource (room, desk, etc.). For example, a calendar called "Meeting room", "Conference room", "Hot desk zone", etc.

  3. Ensure all upcoming bookings are correctly synced to these corresponding calendars.

  4. Add your resources to Spacebring.

Time required: up to 2 hours, depending on the number of resources you have and how quickly you add them to Spacebring.

Step 1. Connect your Google Calendar to Spacebring

  1. In Spacebring, click the menu (...) next to the location name > go to Integrations > Google Calendar.

  2. Connect the same Google account used in your previous platform.

  3. Allow read/write access to your calendars and configure integration settings.

Time required: 1 minute.

Step 2. Enable two-way sync

To synchronize bookings from Google Calendar to Spacebring, follow these steps:

  1. Navigate to the Resources > Rooms, Desks page (or Parking, Equipment if you need to migrate these bookings, too).

  2. Click the (...) menu next to each room or desk > select Edit.

  3. In the "Calendar sync" section, link the correct Google Calendar for that resource.

  4. Enable "Two-way sync". This ensures bookings are synced from Google Calendar to Spacebring and not only vice versa.

You're all set! Thanks to the connection with Google Calendar, all upcoming bookings from your previous software will instantly and automatically appear in Spacebring.

Once you're fully migrated and no longer need the sync between Spacebring and Google Calendar, you can:

  • Disable "Two-way sync" by editing each resource. This way, only bookings made in Spacebring will be synced to your Google Calendar and not vice versa.

  • Disconnect the Google Calendar integration once all synced bookings have passed.

Time required: 5-10 minutes, depending on the number of rooms and desks you have.

Migration via Zapier Transfer

If you previously had all bookings data in one of these platforms, the Zapier Transfer feature lets you transfer all bookings to Spacebring.

To set up a Zap for such an automation:

  1. Log in to Zapier and create a new Zap.

  2. On the "Trigger" step, select your previous platform and configure the step.

  3. On the "Action" step, select Spacebring > "Create Booking" event and configure the step.

  4. Follow this guide by Zapier to understand the Transfer feature and how to activate it upon Zap creation.

Migration via Spacebring API

If you have technical resources or developers on your team, you can build a custom migration flow using Spacebring’s public API. For this:

  1. Get the API add-on for your Spacebring subscription.

  2. Refer to the Spacebring developer documentation to build your own automation for transferring bookings.

This approach gives you full control and flexibility for complex or large-scale migrations.

Manual migration

If you don't have a lot of bookings, you may not require automatic booking migration and can easily recreate bookings for your users manually in Spacebring.

Step 1. Invite members

Invite your members to the member web portal following our guide.

Time required: from 10 minutes to several hours, depending on the number of users.

Step 2. Create bookings

  1. Recreate room and desk bookings for your customers by selecting the necessary person in the "Booker" field and choosing the "Free" payment method.

  2. If it's a nonmember's booking, find the "New nonmember" option in the "Booker" field and type their details.

  3. All done! Your customers will receive a notification about the booking you created for them and can view it on the Account > Bookings page.

Time required: from 10 minutes to several hours, depending on the number of bookings.

After fully migrating to Spacebring, your users should create bookings by themselves in the member web portal and mobile app. Embracing self-service functionality will ultimately lead to a more engaged community and smoother operation for your coworking space. Promote self-served bookings

Can I migrate the member's credit balance to Spacebring?

It's not possible to migrate the member's credit balance, but you can give credits to your members manually following this guide. Members receive a notification about the credit transaction.
