Migrate from Coworks

Once you have decided to migrate from Coworks to an easier-to-use and reliable platform, you can follow this simple guide on smooth migration.

Prerequisites

  • Have the subscription for Spacebring active. Schedule a quick demo to sign up.

  • Have access to the Reports tab in the Coworks app to download all data on your users, such as names, emails, and plans.

Step 1. Export data from Coworks

To seamlessly transfer all data to Spacebring, navigate to the Reports tab in your Coworks app and download the reports, including the following data:

  1. Your customers' list with their contact information, such as name and email address, membership plan, and company name if they belong to a company.

    • "Active Memberships" report

    • "Members" and "Teams" reports

    • "Leads" and "Contacts" reports

  2. Plans

    • "Plans" report

  3. Other services you offer

    • "Rooms" report

    • "Suites" and "Dedicated desks" reports

Download other reports as well if you need to save data on payments, bookings, check-ins, etc.

Step 2. Cancel memberships with Coworks

To make sure that your customers are invoiced through a new platform in the next month and are not double-charged through Coworks, we recommend you proceed in the following way:

  1. One-two weeks before the next date of invoicing your customers, schedule the end date for all memberships in Coworks.

  2. Notify your customers that the next invoice cycle will be done through the new system.

Step 3. Set up Spacebring

With Spacebring intuitive interface, you can easily tailor your workspace to your requirements.

To continue, follow our simple "Get Started" guide (1-3 hours to add all data). Once you are ready, mass invite your members (up to 1 hour to upload everyone).

Remember that you can also set up your custom domain for Member Web Portal while customizing Spacebring. To proceed seamlessly with it, please remove the previous record created for Coworks first, and then add a new one.

Step 4. Sync bookings

To make sure that your members and nonmembers book through a member web portal and mobile apps, transfer all future room bookings from Coworks to Spacebring.

If all your room bookings were synced to Google Calendar with Coworks earlier, enable two-way sync with a Google Calendar integration in Spacebring, and all room bookings will instantly appear there, which will help to move all bookings history.

Step 5. Accept first bookings & payments through Spacebring

With everything set up, your members invited, and users' subscriptions created, your customers can explore member web portal:

  • Members receive their first invoices for the created subscriptions and make the first payment manually with their desired payment method.

  • Users with active subscriptions can book with expiring credits and use their plan's benefits.

  • All users can book by paying online via the connected payment gateway at any time.

To set up automatic invoice payments in Spacebring while migrating from Coworks, your members must manually make only the first payment for the invoice in the member web portal or mobile apps; therefore, they'll be set on auto-pay. After paying the first invoice online, all further payments will be fully automated by default.

Throughout the entire process, a dedicated happiness manager will be available to support you and answer any questions.
