Get started with Room display

Launch Room display

Room display is an app for showing real-time room availability on a tablet right next to the room entrance. It helps customers find free rooms, make instant bookings via QR code, and prevents abandoned bookings.

Prerequisites

  1. Have supported tablet devices:

    • A minimum screen size of 7 inches.

    • Support Google Play (for Android) or the App Store (for iPadOS).

    • Android 8.0 or above, iOS/iPadOS 15.1 or later.

  2. Ensure your rooms are added and configured in Spacebring with photos uploaded. The room photo is used as a room display background.

  3. Room display is available as a paid add-on on Spacebring legacy plans, and included at no additional cost with the new Business plan.

Set up Room display

Log in to and set up Room display

  1. Download the Room display app to your tablet(s) by following these links:

  2. Open the app and press Log in.

2. Log in with the account of an administrator for the location where you want to enable Room display.

3. Select your network and relevant location.

4. Below, the list of the rooms added to this location will appear. Press on a room, and the Room display will activate for it.

5. To prevent strangers from shutting down the app and reopening your tablet, set up Guided access on iPad or Screen pinning on Android tablets.

Exit Room display

  1. Turn off the Guided access on iPad or Screen pinning on Android.

  2. Close the app by swiping it up and off the screen.

Log out from Room display

To log out from your current account on the Room display:

  1. Close Room display by swiping it up and off the screen and reopen it.

  2. Tap the (...) More button in the top right corner > Log out.

How Room display works

  • Real-time availability: Room display can be installed at the entrance of each room and shows its real-time availability with clear color indicators — green (available), yellow (available soon), and red (occupied). It makes it easy for customers to find an available room in your space.

  • On-demand bookings: At the entrance, users can instantly book an available room on demand by scanning a QR code from the Room display with their smartphone. The display updates immediately to reflect the new booking.

  • Meeting progress and calendar: The display shows the current meeting status, a progress bar, and upcoming bookings, helping users understand when the room will be free.

  • Check-in and abandoned booking protection: For totally free rooms, users can check in directly on the Room display. In case of no check-in, the system automatically removes the booking from the calendar, freeing up the space for others.

  • Simple setup: Room display runs on widely available OS or Android tablets, requiring no expensive hardware.

FAQs

Can I install Room display or Reception on a tablet without Google Play or App Store?

The recommended and official way to install Room display and Reception apps is through Google Play Store or Apple App Store. Access to one of these stores is a key requirement as outlined in our Room display/Reception tablet prerequisites.

For Android tablets without Google Play access, we do offer APK versions of the Room Display and Reception apps. These can be downloaded here:

However, please note:

  • APK installations are not officially supported in the same way as store installations

  • We cannot guarantee full functionality, stability, or automatic updates

  • Some features may not work as expected depending on the device

For the best experience and reliability, we strongly recommend using tablets that meet all system requirements, including access to Google Play or the App Store.
