Use floor plans

Enable real-time visibility into resource availability and streamline bookings with interactive floor plans.

Floor plans come as an add-on and are available on specific plans. To order floor plans, follow these steps.

How administrators use floor plans

Floor plans are available to administrators on the following pages:

  • Resources > Rooms, Desks, Offices pages (via the “Floors” tab)

  • Analytics > Occupancy page

Resources

Floor plans on the Rooms, Desks, and Offices pages let administrators keep track of daily bookings and identify which resources are available for booking.

  1. Go to the Rooms, Desks, and Offices page > "Floors" tab.

  2. Select "Today" or the necessary future date.

  3. Choose the needed floor from the dropdown.

  • Green fill - available for booking at the moment/on the selected date.

  • Pink fill - fully booked at the moment/on the selected date.

  • Purple fill - fully assigned to a certain customer(s) on the selected date.

  • White fill - unavailable for booking.

The resources are green on the floor plans on the Resources > Rooms/Desks/Offices pages until fully booked or fully assigned.

Occupancy

Floor plans under the Analytics > Occupancy page let administrators keep track of long-term rental assignments and identify which rooms, desks, and offices are available for rent now or on the selected future date.

  1. Go to the Analytics > Occupancy page > "Floors" tab.

  2. Select "Today" or the necessary date in the future.

  3. Use the "Resource" dropdown to show only specific resources (only offices or only dedicated desks), or view all.

  4. Choose the needed floor from the dropdown.

  • Green fill - available for rental or partially assigned on a selected date.

  • Purple fill - fully assigned to a certain customer(s) on a selected date.

  • White fill - unavailable for assignments.

By clicking on any resource, administrators can quickly view its description, photo, capacity, and other details in a pop-up window.

How users use floor plans

Users can access floor plans on the Rooms, Desks, and Offices pages in the member web portal and mobile app.

Rooms

To check available rooms via the floor plan and book, users do the following:

  1. Go to Locations > Rooms page.

  2. Choose the needed floor from the dropdown.

  3. Tap on the room on the floor plan, which shows up as green > proceed with a room booking.

  • Green fill — the room is available for booking at the moment.

  • Red fill — the room is already booked at the moment.

  • White fill — the room is fully assigned to other customer(s), or not available.

Desks

To check available desks via the floor plan and book, users do the following:

  1. Go to Locations > Desks page.

  2. Select "Today" or the necessary date in the future.

  3. Choose the needed floor from the dropdown.

  4. Tap on the desk on the floor plan, which shows up as green > proceed with a desk booking.

  • Green fill — the desk is available for booking at the moment or on the selected day.

  • Red fill — the desk is already fully booked at the moment or on the selected day.

  • White fill — the desk is fully assigned to other customer(s), or not available.

Offices

To check available offices for rental via the floor plan, users do the following:

  1. Go to Locations > Offices page.

  2. Choose the needed floor from the dropdown.

  3. Tap on the office on the floor plan, which shows up as green > proceed with an application.

  • Green fill — the office is available for rental.

  • Red fill — all seats in the office are assigned.

  • White fill — the entire office is fully assigned to other customer(s), or not available.

All users can view available offices for rent on the Offices page and apply for them. Only members with an office fully assigned to them can book seats in their office directly. Manage offices.

FAQs

Why do I need a floor plan?

Floor plans not only let users book resources directly from the floor plan, but also give administrators a clear view of space availability making it easier to monitor and optimize space usage.

Is it secure to show all my resources on the floor plan?

Users can see the location and availability of resources, but not who is using them. Company or member assignments are not visible, ensuring privacy and security.

Can other users see the floor plan on the Occupancy page?

The Occupancy page is only accessible to administrators in Spacebring. Users in member web portal or mobile app can view floor plans only on the Rooms, Desks, and Offices pages.
