Administrators can easily track activities in their location to stay updated about important actions.

Tracking notifications

Administrators can track notifications of the following types:

  • Activities related to other users' accounts

  • Important updates from integrations connected to this location (Google Calendar, Xero, QuickBooks Online, etc.)

Administrators can manage only notifications related to other users' actions.

Track activities related to other users' accounts

Administrators can configure receiving notifications to track specific activities of the following users:

  • Administrators

  • Location members

  • Network members

  • Nonmembers.

Administrators can configure receiving notifications about the following activities:

Rooms

  • Bookings created

  • Bookings deleted

Desks

  • Bookings created

  • Bookings deleted

Offices

  • Bookings created

  • Bookings deleted

Parking

  • Bookings created

  • Bookings deleted

Credit Packages

  • Credits purchased

Invoices

  • Payment succeded

  • Payment failed

Events

  • Ticket purchased

  • Ticket canceled

Benefits

  • Application submitted

Shop

  • Product purchased

Nonmembers' and invoice activity notifications are enabled by default.

To receive notifications about user activity in a certain module, an administrator must have permission for that module. If an administrator enables notifications for the module they have no permission for, they will not receive those notifications.

Each notification includes the company/user's name and the title of the purchased resource. Administrators can always reveal additional details about the activity by clicking on the notification. By clicking on the company/user's name, administrators can view their profiles with full information about them on the Community page.

Configure tracking notifications

Each administrator can configure tracking notifications they want to receive by following the steps below:

  1. Open the Notifications page > tap βš™ top right.

  2. Choose the desired category > enable specific types of notifications and target audiences.

  3. Press Save.

To avoid missing notifications, grant your app permission to send push notifications. General push notifications can be configured at a system level:

Track important updates from connected integrations

Administrators receive notifications when certain integrations fail due to incorrect setup in this integration account.

Administrators can receive notifications about the following integrations:

  • Google Calendar

  • Xero

Google Calendar

Google Calendar failed to create a booking because another one exists at [time]

The booking conflict occurred because the room's calendar in the app already had a booking for that time and date, which Google Calendar tried to create. Double-check what booking was attempted to sync and whether the existing booking in the app is the same

Google Calendar failed to create a recurring booking in [room name]

There was an error when trying to create a recurring booking in Google Calendar, as recurring bookings are not supported in Spacebring. To recreate the necessary bookings from Google Calendar, create them as one-off bookings in the app.

Xero

Xero failed to sync an invoice [invoice number] from [location name] due to an error "Account code '200' is not a valid code for this document

The "Sales Account" in Xero is missing a value in the "Code" field. To resolve this issue, go to the "Sales Account" in Xero and enter "200" in the "Code" field.

Xero failed to sync an invoice [invoice number] from [location name] due to an error "You must specify an Account ID for the payment"

Your clearing account in Xero is missing a value in the "Account ID" field. To resolve this issue, go to the clearing account in Xero and enter it in the "Account ID" field.

Xero failed to sync an invoice [invoice number] from [location name] due to an error "Organization is not subscribed to currency [currency code]"

The "Sales Account" in Xero is missing the currency for the invoice that was attempting to sync. To resolve the issue, you need to add the missing currency to your Xero account.

QuickBooks Online

Quickbooks Online failed to sync an invoice [invoice number] from [location name] due to an error "Business Validation Error: Make sure all your transactions have a sales tax rate before you save."

The invoice tax doesn't match the tax set in Quickbooks. To resolve the issue, edit the existing sales tax rate or add a new one in QB in the "Taxes" menu, or edit the tax rate on the Settings > Billing page in your app.

QuickBooks Online

Quickbooks Online failed to sync an invoice [invoice number] from [location name] due to an error "Subscription period has ended or canceled or there was a billing problem: You can't add data to Quickbooks Online Plus because your trial or subscription period ended, you canceled your subscription, or there was a billing problem. To update your subscription, click the gear icon and view your account information."

Your Quickbooks Online trial has expired, or subscription period has ended or canceled, or there was a billing problem. To resolve this issue, open your Quickbooks Online account, press on the gear icon top right and select "Subscriptions and billing" from the Profile menu, check your trial or subscription details and update it if necessary.

FAQ

Can I receive email notifications along with notifications in the app?

You can use the integration of your app with Zapier to configure getting emails about all successful desk and room bookings.
