How to assign resources
Create or edit a subscription for a member or company.
Press
Add Assignment
in the "Assignments" section.Select the resource you want to assign.
Keep the
Entire Resource
switch enabled to fully assign the resource, or disable the switch and specify the number of seats or spaces within the resource capacity to assign.
You can assign an unlimited number of resources to a single member or company.
How to cancel assignments
Administrators can cancel assignments in two ways:
Edit the subscription of a member or company > tap on the assigned resource in the "Assignments" section > press
Delete
.Assignments will automatically expire when the subscription is canceled or ends.
How assignments work
You can assign an entire desk, office, or parking lot or a specific number of seats or spaces within it to members or companies. Rooms can only be assigned entirely.
Each resource can be assigned to multiple members or companies, but all assignments for a single resource must be of the same type: either all entire resource assignments or all seat assignments. An assignment of the entire resource to at least one member or company makes it unavailable for seat assignments to other members or companies, and vice versa.
Entire resource assignments
To fully assign a resource to one or multiple members or companies, add it to their subscriptions with the "Entire Resource" switch enabled.
Assignment of the entire resource makes it visible to and bookable by only the members and company members it is assigned to. Other users can neither see nor book it.
Seat assignments
To assign a specific number of seats or spaces within the resource to a member or company, add it to their subscription with the "Entire Resource" switch disabled and specify the number of seats or spaces.
A resource can have seat assignments to multiple members or companies in accordance with its seating capacity or parking space quantity.
All users see the availability of the resource reduced by the number of assigned seats or spaces on the corresponding page.
Members and company members who the resource is assigned to do not need to book the resource as the seats or parking spaces are allocated to them for the duration of their subscription or until the assignment isn't removed.
Once the subscription of the member or company who has an assignment to the resource ends or is canceled or the assignment is removed from them, the resource availability automatically adjusts.
How users view their assigned resources
Users can see the resources assigned to them by following these steps:
Go to the Account > Assignments page.
View all the resources assigned to you, organized by location. Each assignment shows whether the entire resource is assigned to you or a specific number of seats and the end date of the assignment validity.
If the resource is assigned in a company subscription, both company managers and members can see it on their Assignments page.
How assignments affect occupancy and floor plans
For administrators, assigned resources appear on the Locations > Analytics page > Occupancy tab and display the name of the company or member they are assigned to and the assignment dates.
If the member or company subscription has an end date set, the Occupancy page will showcase the resource rental duration based on the subscription's start and end dates.
If the member or company subscription is set to never end to renew, the Occupancy page will show that the resource has an indefinite assignment.
Resource assignments affect the occupancy rate.
Administrators can also open the floor plan on the Occupancy page and view all the resources, including the assigned ones.
Assigned resources show as green, red, or white for various users on floor plans.
