Your mobile app comes with a meeting room display mode. It shows meeting room availability at a distance and a QR code to book ad-hoc. Read about room display mode on our website.

Room display is available only with the Mobile Apps Add-on.

Prerequisites

To start using the meeting room display, you need to fulfill the following conditions:

  1. Have your branded mobile apps published. If you haven't ordered them yet, you can do it with our guide.

  2. Make sure that your tablet screen size is at least 7 inches and supports downloading Android or IOS app.

How room display works

Room display mode signals room availability by tinting the background color of the tablet.

  • Green if a meeting room is available for booking. The free time until the next booking should be larger than the minimum time for a booking set in room settings.

  • Yellow if a meeting room will become available in less than 60 minutes.

  • Red if a meeting room will be unavailable for the next 60 minutes.

The display shows both current and upcoming bookings. It includes the full name of the booker, the title, and the time of the booking.

Users' privacy settings also apply to the room display. For instance, if users select "Administrators" as their "Bookings Title Visibility," the booking title will not be visible on the room display.

Scanning the QR code takes users to the booking calendar on the web or mobile application.

How abandoned booking protection works

When creating or editing a free room, you can enable and configure "Check In" to protect abandoned bookings.

If enabled, the room display will show the Check In button according to the times you picked in the room settings. For example, if you selected 10 minutes for "Early Check In", the user can check in 10 minutes before their booking.

If the user checks in, the booking will be confirmed and the room display will show a pop-up message about it.

If the user doesn't check in according to the times you picked in the room settings, the booking will be removed from the room calendar automatically. For example, if you selected "5 minutes" as an "Abandoned Threshold", the booking will be removed 5 minutes after it starts.

The Check In button appears on the room display only if the booked room is totally free of charge.

  1. Open your app on a supported tablet.

  2. Go to Locations > Rooms and select the corresponding room by clicking on its title or photo.

  3. Press (...) in the top right corner and select the "Room Display" option.

Room display mode is available to administrators only. To prevent strangers from shutting down the app and reopening your administrative account, set up Guided Access on iPad or Screen Pinning on Android tablets.

Exit room display mode

  • Turn off the Guided Access on iPad or Screen Pinning on Android.

  • Close the app by swiping it up and off the screen.

  • Open your app once again. The meeting room display will be disabled after this.

FAQ

Why are the bookings not showing up on the room display?

It's possible that bookings won't appear on the room display due to poor internet connection. To resolve this, we recommend reconnecting the Wi-Fi on the tablets.
