Understand resource assignments

Allocate resources for rental using the right assignment type for your needs

Updated yesterday

When a customer gets a subscription to rent a resource (desk, office, parking space, etc.), that resource is assigned to them. It marks the resource as occupied by a specific customer, preventing others from booking or renting it.

When setting up a subscription for a customer, you can choose one of two assignment types.

Entire resource assignment

Use it when:

  • The customer rents the whole resource. For example:

    • A private office

    • A meeting room

    • A parking lot rented entirely by one company

  • The resource must be hidden from others. Only the assigned customer can see it.

  • A company rents an entire office, desk, or other resources, and their employees want to book seats internally (e.g., hybrid office setup).

Assignment by quantity of seats/spaces/items

Use it when:

  • The customer rents one or several seats/spaces/items within a shared resource. For example:

    • 1 dedicated desk in a 10-desk zone

    • 3 parking spaces in a 20-space lot

With this assignment type, customers don't book their seat(s) during their subscription period; it’s reserved for them.

  • The customer takes an entire resource, such as a private office, but you want this resource to stay visible to other customers with the "Fully occupied" label (e.g., to let other customers inquire about future rental). In this case, assign the resource with the "Entire resource" switch turned off and just select the maximum quantity.

How resources assigned by seats appear to others:

  • All users see the resource with the reduced availability (e.g., 7/10 available).

  • When the resource capacity reaches zero, it remains visible with a “Fully occupied” label.

Rooms can only be assigned entirely.

Track all resource rentals

  • See a consolidated timeline of all resource rentals on the Assignments page.

  • Additionally, on the Resources pages, you can see current assignments and real-time availability for each resource.

FAQs

Why do I see the error "Assignments conflict with other assignments" when creating a subscription for the customer?

This means that one or more resources you've added to the customer's subscription are already assigned to another customer for the same dates or with a different assignment type (entire VS by seat).

To fix this:

  1. Go to Resources > Assignments.

  2. Find the resource in question to check:

    • Which customer it's assigned to

    • The assignment dates

    • The type of assignment

    Tip:

    • Wide bars = Entire resource assignments

    • Narrow bars = Assignments by seats

  3. To fix the conflict:

    • Choose a different resource for your new customer.

    • Go to the profile of the customer who currently rents this resource and remove this resource from their subscription items or adjust its dates.

    • If the resource is assigned by seat, assign the resource to the new customer by seat as well.

How do I remove resource assignments?

  1. Go to the Resources > Assignments page or to Rooms, Desks, Offices, Parking, or Equipment pages.

  2. Find the resource in question to check which customer it's assigned to.

  3. Go to the Customers page.

  4. Open the profile of the customer who currently rents this resource.

  5. Edit their subscription and remove this resource from their subscription items, or adjust the item's rental dates to assign it to a new customer for other dates.
