Issue contracts for eSignature

Updated over a week ago

The eSignature allows you to send contracts to customers and let them sign electronically โ€” no extra manual steps required.

Starting from April 1, 2026, eSignature moves to a usage-based paid model. Charges will be applied automatically based on the total number of contracts issued. Pricing

Enable eSignature

  1. Go to Location settings > Billing page > "Contracts" tab.

  2. Enable the "eSignature" switch.

  3. Make sure your contract template(s) contain the {customer.signatory.signature} placeholder (and any others you need). This tells the system where the customer should sign.

Issue contracts for eSignature

  1. Go to Billing > Contracts to create a contract for a certain customer.

  2. Manage the "Signatory for {Your location name}" switch.

    • If enabled, both the signatory for your organization and the customer must sign.

    • If disabled, only the customer needs to sign.

  3. Once created, open the contract and click Issue with eSignature.

How customers receive and sign contracts electronically

Once you issue the contract:

  1. The customer receives a request for signature via email and clicks Sign contract.

  2. They are taken to the online signing page, where they read the contract and tap Click to sign.

  3. The customer can draw, type, or upload their signature.

  4. Proceed with confirming their signature.

  5. If you enabled the "Signatory for {Your location name}" option while creating a contract, the designated signatory for your organization receives the same request and signs using the same steps.

The signing process is sequential: the location signatory receives an email to sign only after the customer signs.

After all required signatures are collected:

  • The contract is automatically marked as signed in Spacebring.

  • If "Create subscription from contract" was enabled during contract creation, the subscription for the customer is confirmed and created automatically.

  • If "Issue invoice from contract" was enabled during contract creation, the invoice is created automatically once the contract is fully signed.

  • The document is automatically updated with the signed contract shortly after everyone finishes signing.

FAQs

Is eSignature legal in my country?

Spacebring uses Dropbox Sign for electronic signatures. You can check the legal recognition of eSignatures in your country here: https://sign.dropbox.com/esignature-legality/australia.

Why didn't I get the eSignature email to sign the contract?

If you didnโ€™t receive the eSignature email, please keep in mind that the contract is only sent to the location signatory after the customer has completed their signature. If the customer has not yet signed, the document will not appear in your inbox. If they have signed and you still don't see it, here are a few things to check:

  • Make sure your contract template contains the {customer.signatory.signature} placeholder.

  • When you created the contract, make sure you clicked "Issue with eSignature" (not just "Issue").

  • Ensure that the customer's and your own email addresses are correct.

  • Look in your spam/junk folders โ€” eSignature emails sometimes get filtered there.

  • Check any other email filters you might have set up.

How to prevent signatures from jumping to a new page?

To keep signatures in their designated spots and avoid an extra page at the end of the document, you must include both the signature and the date placeholders together:

  • {customer.signatory.signature} and {customer.signatory.signature_date}

  • {company.signatory.signature} and {company.signatory.signature_date} (if applicable)
