Users can easily apply for available offices, making it easier for administrators to connect with them. Administrators can view all applications for offices as tickets on the Support page and reply there.

Prerequisites

To allow users to apply for available offices, do the following:

  • Add all offices with public visibility to the Offices page. It will allow nonmembers to view available offices and reach out.

  • Enable the Support page. For this, press menu (...) near the location name > Location Settings > Support > enable the Support switch. Set to "Public" visibility so all users can see administrators' replies to their applications.

How users apply for offices

Users can apply for offices by following these steps:

1. Go to Locations > Offices > select the desired office and press Contact.

2. Type any additional details or questions, if necessary, inside the text field and press Submit.

The number of applications and offices one user can apply to is unlimited.

How to manage applications

Once a new customer applies for an office, administrators receive the application on the Support page as a new ticket.

To avoid missing any notifications about office applications in Support, enable push notifications and select the responsible support manager.

To manage the application, follow these steps:

  1. Conveniently communicate with the user in the comments of the ticket, negotiate the price, answer the customer's questions, share additional photos of the offices, the link to sign the rental contract online, or arrange an office tour.

  2. If, upon the communication, the user confirms their decision to rent the office, tap on their name or photo and press the Invite button to add them as a member.

  3. If the user belongs to a company with several employees, create a company for them and add other company members or ask the user to invite their colleagues.

  4. Create a subscription for this user or company and assign the office they rent inside the subscription. You can assign the entire office, making it only visible to assigned members, or select the necessary number of seats in the office.

  5. If the user or company signs a rental contract, attach it in the "Attachments" section in their profile.

FAQ

Why do users need to apply for an office instead of booking it?

Signing up for an office is a more complicated process than booking a room or desk since it requires taking a tour, signing the contract, or offering special conditions to the price. Therefore, users can contact the administrator regarding the office they are interested in. This way, the administrator can onboard the new customer by themselves after the contract is signed.
