Use QR codes to:

  • Direct users to specific room or desk booking calendars.

  • Promote public membership plans for instant sign-up.

  • Provide quick links to your digital Shop or Support desk.

  • Distribute branded stickers that link directly to your mobile app on the App Store or Google Play.

Copy the URL from the member web portal

You can create QR codes for any page or specific product within your member web portal.

  • Open the member web portal and copy the link from the browser to the whole page (Rooms, Desks, Offices, Events, Support).

  • If you want to share a specific room, desk, plan, shop product, etc, tap on this resource and copy a link by pressing a Share button top right.

Make sure to set the visibility to "Public" for each resource you create a QR code for, so that all users can access it by scanning the QR code.

We recommend you copy the links to the following resources:

  • Room or Desk calendars: In the member web portal, go to the specific Locations page > Rooms or Desks > copy the URL from your browser's address bar.

  • Events, and Support pages: go to Locations > select the necessary page > copy the link from your browser's URL bar.

  • Plans: Go to Billing > Plans > press the menu (...) top right > Copy link to all public plans. The link will show users a list of plans in the member web portal.

Convert to QR Code: Use a free generator (such as Adobe’s QR code generator) to convert your links into QR codes.

Add a Call-to-Action (CTA): Include clear text on your design, such as "Scan to Book" or "Sign up here," to encourage users to take action.

Download mobile app stickers

If you have branded mobile apps published, you can download ready-to-print stickers that feature your app icon and a QR code linked to the App Store and Google Play.

  1. Click the network name on the left-side panel.

  2. Navigate to Network settings > Member mobile app and press Download stickers.

To change the background color of the sticker, update your Accent color in Network settings > Appearance. To change the icon, update your member mobile app icon in Network settings > Member mobile app.

Once you download the sticker, we recommend printing the stickers and place them around the premises to make it easier for users to find and download your member mobile app on the App Store or Google Play or placing the stickers on each desk in the hot desk area to encourage users to download the member mobile app for convenient self-service.

How users interact with QR codes

  • Instant access: Users scan a code at your physical location and are immediately taken to the relevant booking or sign-up page without needing to search the portal.

  • Convenient downloads: By scanning desk or reception stickers, new customers can download your branded app and create an account on the spot.

  • Self-service: QR codes placed in areas like the kitchen or print room allow users to report issues or buy products via the Shop immediately.

Best practices

  • Reception: Place QR codes here to encourage users to download your mobile app and sign-up for your membership plans.

FAQ

Will the member web portal or mobile app open after scanning the QR code?

If the QR code is generated from the member web portal URL copied from the browser, only a member web portal will open on any device. However, if the link from the Share button is used for the QR code, then the behavior upon scanning will depend on the device, app availability, and configuration.

  • If users have the member mobile app installed on their device, it will be opened after scanning the QR code and following the link.

  • If no member mobile app is installed, the member web portal will be opened.

  • If someone has the progressive member web portal installed on their device, it will be opened.
